  1. Select the Clock Administration to launch the program and display the Login window. (You may need to double-click the icon based on where you are launching the program from.)
  2. In the login screen, with your initial login, enter the following information. Subsequent logins will only require the password entered.
    • SQL Instance: Enter the server name.
    • Authentication: Choose Select the authentication method.
    • Login: Displays the SQL user name.
    • Password: Enter the SQL user name password.

To map Clock activities to Dynamics accounts:

  1. Choose Select Activity/Account from the menu bar.
  2. Choose Select the Activity from the list.
  3. Choose Select the Account from the list.
  4. Choose Select Submit.
  5. Complete the activity/account mapping for each activity within the list.
Note

To update an activity with a different account, repeat steps 1-4. If you need to remove a mapping, choose select the activity, do not choose select an account, and then choose select Submit.

Create Tasks

...

  • Clock – Business Sync: Synchronizes only changed data. The default trigger is to run every three hours after the initial sync.
  • Clock – Business Sync Full: Synchronizes users, projects, etc. from Dynamics GP to Journyx. Recommended to set this at a minimum of once a week. The default trigger is run every Saturday at 11 pm.
  • Clock – Expense Sync: Synchronizes expense data from Journyx to Dynamics GP. The default triggers are set to run daily at 6:45 PM and weekly every Monday morning at 5:45 am.
  • Clock – Time Sync: Synchronizes time data from Journyx to Dynamics GP. The default triggers are set to run daily at 6:30 PM and weekly every Monday morning at 5:30 am. If you are using the Clock Stopwatch feature, the Time In/Out values are included in the TimeTrack batch.

To create tasks

  1. Choose Select Create Tasks.
  2. In the Create Tasks window, mark the scheduled tasks to create.
  3. Enter the Username.
  4. Choose Select Create Tasks.
  5. The command window will prompt you for the user password for the Username indicated in the Create Tasks window. Note: You will be prompted to enter the password for each task created.
  6. The tasks are created and displayed in the top scrolling window.

Run the Business Sync Full task by right-clicking on the task and choose select Run Task. This may take some time, so we'd recommend running this task overnight.

  1. In the Journyx Accountlink Dynamics Settings and Connection Confirmation window, enter the following under GP Login Information:
    • SQL Server – Enter the SQL server name.
    • User - Enter the admin login for Dynamics GP.
    • Password - Enter the admin password.
    • Database - Enter the database name.
    • Company - If the above information is successful, the company name will display in the Company list.
  2. Choose Select Connect.
  3. Enter Journyx Login Information.
    • Server - Enter your Clock URL. (https://your-company-name.clock.key2act.io)
    • User – Enter gpdamin.
    • Password – Enter Access01.
    • Session Context - If the above information is correct, the company name will display in the Session Context list.
  4. Choose Select Connect.

Enable/Edit the Expense and Time Sync Tasks

To enable or edit triggers:

  1. In Clock Administration, choose select Task Scheduler.
  2. Expand Task Scheduler Library and choose select Clock.
  3. Right-click on the task and choose select Properties (or choose select the task and then choose select Properties on the far right).
  4. In the Triggers tab, choose select the trigger to edit, and then choose select Edit.
  5. In the Edit Trigger window, mark Enabled.
  6. Update the frequency and/or time for the task to run.
  7. Choose Select OK.
