New Feature - Time In/Time Out

We’ve added a new Time In/Time Out setting that allows employees to time in/out of an activity. If you do not want the time in/time out entries to be editable, you can enable the Lock Time In/Time Out setting. See Enabling Time In/Time Out.

Employees can time in on the Time Entry window for a new activity or from the timesheet if there is an existing activity on the timesheet. Employees can time out from the Time Entry window or from the timesheet. After timing out of the activity, the hours are calculated automatically. See Creating a Time Entry Using Time In/Out.

  • Employees can only time in on the current day.

  • Start/End dates and times can be edited for any time entry that has not been submitted.

  • If you use Manager Approval, managers can edit the dates and times for their employees' time in and time out entries.

  • If an employee’s time out happens to be in the next pay period, two time entries are created. One time entry ends at 12:00 am of the first pay period and the other time entry begins at 12:01 am.

New Feature - Rejected Time Entry Email

We have updated how time entries are edited when a day has multiple transactions and the user selects Edit Time.

  • A new “Time Entries for day/date” pop-up window displays and the user will need to select the Edit (pencil) icon. The Activity, Cost Code, Pay Code, and Shift Code (if using) fields will be read-only. Only the time entry being edited is shown in the Edit window. We will no longer show all entries with the same key segments (activity, cost code, pay code, shift).

  • The time entry can be deleted on the pop-up window by selecting the Delete (trash can) icon.

  • Users can also create a new time entry from the pop-up by selecting the Add (plus) button.

If the day has only one time transaction, the edit window displays as usual and the user can edit any of the fields.

We’ve updated the Sync Failure email to include the environment name in the email subject line. The recipients are set up in Setting up Admin Notifications.

We’ve added a confirmation message that displays after importing entries into the TimeTrack Add-in window. The message displays the number of successfully imported transactions, “11 transactions were successfully imported. Please review the grid for status information.” If none are successful, “No transactions were imported. Please review the grid for status information.” See Importing Timesheet Transactions to TimeTrack.

This requires you to install the Time Compability updates. See 2/27/24 Time Compatibility Update for more information.

KT-1894

Employees can now update their preferred language in the User Profile window. See Setting Your Preferred Language.

New Feature - Acknowledgement Statement Available and Bug Fixes

If your company requires that your employees submit a time entry acknowledgement when submitting their time, you can now enable this feature in Settings. Select the Edit Acknowledgement button to enter your company’s acknowledgement statement. See Using a Submit Acknowledgement.

After Use Acknowledgement is enabled and the statement has been entered, when all employees select to submit their time, the statement displays in the pop-up window. This is the same window that shows the number of time entries to be submitted. Selecting Yes will submit the timesheet or selecting No will return the employee to the Time Entries list and the timesheet is not submitted.

The example below includes text manually entered in the Acknowledgement Message window. If you do not set up the message, then the window will only include the “Are you sure you want to submit x entries?” message.

The Licensing window has been updated to change the order of columns. The Enable Time Cards column now displays the left of the Login Access column. When marked, the Enable Time Cards check box for an employee affects the Assigned count for licensing. See Licensing.

KT-1784

Users can now copy the previous timesheet into the current timesheet if there are no entries in the current timesheet and the previous timesheet has a status of Submitted, Approved, or Processed. Time copies all activities, cost codes, pay codes, shift codes, hours, and notes into the current timesheet. Users can edit any of these copied transactions. The Copy Timesheet option displays in the Add Activity menu if the conditions are met. See Copy the Previous Timesheet.

You can now set up a reminder for your employees and, if you are using Manager Approval, for the approvers. Specify the day and time that the reminders are sent. Notifications are sent to the users' email addresses and are sent to everyone, regardless of their time entry/approval status. See Enabling Reminders.

New Feature - Shift Codes Are Now Available

Description

KT-1510

Time now remembers your last selected company when signing in. The last company that you selected will default in as the current company the next time you access Time. This is stored at the user-level and will follow you on whatever device (computer, phone, etc.) that you are using to sign into Time. You still have the option to select a different company using the drop-down at the top of the window.

KT-1627

We’ve added the ability to use shift codes with Time. Shift codes are set up in Signature. The Signature Shift Codes feature is an extension of the Microsoft Dynamics GP feature that allows you to add an additional pay amount to an hourly wage, as an incentive for employees to work outside the regular day shift, such as second shift or third (graveyard) shift. When entering a payroll transaction, the shift premium will default automatically based on the shift code that is assigned to the employee's pay code. See Using Shift Codes.

When enabled, employees will see the Shift Code field on the Time Entries, Time Entry, Manager Approval Summary, and Manager Edit windows. A manager can edit the Shift Code on an employee’s time entry.

KT-1736

The Manager Setup window has been renamed to Approver Setup and only displays if Use Manager Approval is enabled. Time and Payroll Admins now display in the list of available approvers. (Previously only managers displayed in the list.) See Assigning Additional Timesheet Approvers.

The approver must be a TimeTrack user and at least one of the following:

  • Assigned to manage other employees in the TimeTrack Registered Users window.

  • Set up as a Payroll Admin.

  • Set up as a Time Admin.

KT-1752

On the Time Entries window, the Cost Code, Pay Code, and Shift Code columns now auto-size to the widest content based on the text displayed, which is how the Activity column currently displays.

Use the Licensing window to set up your employees to sign in and/or use Time. The window shows the Registration Count (number of licenses available) and Assigned Count * (users with Enable Time Card * checkbox marked). The asterisk for both labels indicates their relationship. Once the employee has Time Login Access enabled, they will be sent their Time “Welcome” login information. See Licensing.

With the initial release of Time, the ability to log into Time was dependent on the Remove Time Entry check box in the TimeTrack Registered Users window. The new Licensing window in Time replaces that functionality.

The Manager Approval Summary and Edit Time Entry windows have been optimized for smaller browsers.

After selecting the employee from the list, the View Entries button slides up from the bottom of the screen.

Introducing the Manager Approval feature! The Manager Approval feature allows managers or supervisors to approve employees' timesheet entries before importing the timesheets into TimeTrack. See Enabling Manager Approval in Company Settings.

If manager approval is required, timesheet entries will not be committed until they have been approved. A rejected time entry is sent back to the employee or the manager can edit the time entry for the employee. If you need to assign an additional manager or a delegate to approve timesheets, you can do so in the Manager Setup window. See Working with Manager Approval.

If you are using Time’s Manager Approval feature, use the Manager Setup window to assign additional managers who can approve timesheets for an employee. Only Time administrators have access to the Manager Setup window. This setup window is available when Enabling Manager Approval is turned on.

The manager must be a TimeTrack user and be assigned to manage other employees in the TimeTrack Registered Users window. See Assigning Additional Timesheet Approvers.

Employees not assigned a manager in TimeTrack can submit a timesheet that is automatically approved.

In the Time Settings window under WennSoft Controlled, the licensed and assigned user counts are now displayed. See Viewing WennSoft Settings.

  • Licensed: Indicates the number of user licenses available.

  • Assigned: Indicates the number of users who can log into Time. This count will never exceed the License count.

We’ve added the ability to set a default labor pay code to autopopulate the pay code for any employees who have that pay code assigned to them. If the employee does not have the pay code assigned or they need a different pay code, they can select the pay code when creating the time entry. See Setting a Default Labor Pay Code.

When accessing Time via the website, the Add Activity blue + circle icon that was originally at the bottom right of the window has been moved to above the timesheet list and is a button called Add Activity.

When users are accessing Time via a device either on the web or through the Time app, the Add Activity icon is the blue circle in the lower right corner.

We’ve created a mobile forms list view of time entries based on the screen size display.

  • If you use a large screen display, you will see the grid (table) view.

When editing a note, the focus is put in the note field so that you can enter the note without needing to click in the field.

The save options have been updated to include a Save & New option.

  • Save: Saves the transaction for the selected day. 

    • The Time Entry window remains open and the Add Note icon now displays to the right of the time entry. You can edit the current time entry or you can select a different day to add a time entry with the same selections. See Working with Notes.

    • Any changes made for the same day will edit saved transaction.

  • Save & New: Saves the current transaction and then clears the Time Entry window so that you can enter a new transaction for the current day or a different day.

  • Save & Close: Saves the transaction and closes the Time Entry window.

We’ve add a two-level sort for Pay Codes:

  • by PayType

    • Regular Pay Types display at the top

    • Other Pay Types consists of non-Regular pay types.
