Using Clock Administration
Logging into Clock Administration
- Select the Clock Administration icon to launch the program and display the Login window. (You may need to double-click the icon based on where you are launching the program from.)
- In the login screen, with your initial login, enter the following information. Subsequent logins will only require the password entered.
- SQL Instance: Enter the server name.
- Authentication: Select the authentication method.
- Login: Displays the SQL user name.
- Password: Enter the SQL user name password.
- Select Connect.
Mapping Activities/Accounts
Use the Activity/Account tab to map the accounts to use for activities in Microsoft Dynamics GP to the activities used in Clock. After you've assigned an account to an activity, it displays in the window below the fields.
VACATION and HOLIDAY activities are required for Clock.
- VACATION – Available for Leave Requests.
- HOLIDAY – Available for Holidays and Leave Requests
To map Clock activities to Dynamics accounts:
- Select Activity/Account from the menu bar.
- Select the Activity from the list.
- Select the Account from the list.
- Select Submit.
- Complete the activity/account mapping for each activity within the list.
To update an activity with a different account, repeat steps 1-4. If you need to remove a mapping, select the activity, do not select an account, and then select Submit.
Creating Tasks
Scheduled synchronization tasks need to be imported in the Microsoft Task Scheduler window. These are the four scheduled tasks:
- Clock – Business Sync: Synchronizes only changed data. The default trigger is to run every three hours after the initial sync.
- Clock – Business Sync Full: Synchronizes users, projects, etc. from Dynamics GP to Journyx. It is recommended to setting this at a minimum of once a week. The default trigger is run every Saturday at 11 pm.
- Clock – Expense Sync: Synchronizes expense data from Journyx to Dynamics GP. The default triggers are set to run daily at 6:45 PM and weekly every Monday morning at 5:45 am.
- Clock – Time Sync: Synchronizes time data from Journyx to Dynamics GP. The default triggers are set to run daily at 6:30 PM and weekly every Monday morning at 5:30 am. If you are using the Clock Stopwatch feature, the Time In/Out values are included in the TimeTrack batch.
To create tasks
- Select Create Tasks.
- In the Create Tasks window, mark the scheduled tasks to create.
- Enter the Username.
- Select Create Tasks.
- The command window will prompt you for the user password for the Username indicated in the Create Tasks window. Note: You will be prompted to enter the password for each task created.
- The tasks are created and displayed in the top scrolling window.
Running and Enabling/Editing Tasks
Running the Full Business Sync Task
Run the Full Business Sync task by right-clicking on the task and then selecting Run Task. This may take some time, so we'd recommend running this task overnight. You will be prompted to enter your Accountlink credentials.
Before Running the Full Business Sync Task for the First Time
When you first install AccountLinkClock, it is recommended to run a Full Business Sync from the AccountLinkClock user interface and that you are logged into Windows with the account that will be used to run the AccountLink Scheduled Windows task. This ensures that the account has sufficient account credentials to successfully run a Business Sync.
- To run a Full Business Sync via the AccountLinkClock user interface, login with the appropriate Microsoft Dynamics GP account information in addition to the Clock Connection account information.
- Verify the following configuration options are marked by selecting Config > Options Config from the menu.
- On the Business Sync Options tab:
- Force update of all records
- Do mass updates when possible for improved efficiency
Mass update page size: 5000
For larger data sets, it is very important to set the Mass update page size to 5000.
- On the Business Sync Data tab, verify that none of the options are marked.
- On the Business Sync Options tab:
- Select Save.
- Verify the user.config file was successfully created in the following location: C:\Users\{service-account}\AppData\Local\Journyx\AccountlinkClock.exe_Url_{app-identifier}\{current-version-number}
Enabling/Editing the Expense and Time Sync Tasks
In the Journyx Accountlink Dynamics Settings and Connection Confirmation window, enter the following under GP Login Information:
SQL Server – Enter the SQL server name.
User - Enter the admin login for Dynamics GP.
Password - Enter the admin password.
Database - Enter the database name.
Company - If the above information is successful, the company name will display in the Company list.
- Select Connect.
- Enter Journyx Login Information.
- Server - Enter your Clock URL. (https://your-company-name.clock.key2act.io)
- User – Enter gpdamin.
- Password – Enter Access01.
- Session Context - If the above information is correct, the company name will display in the Session Context list.
- Select Connect.
Tasks are initially created with daily and weekly triggers; however, they are disabled by default.
To enable or edit triggers:
- In Clock Administration, select Task Scheduler.
- Expand Task Scheduler Library and select Clock.
- Right-click on the task and select Properties (or select the task and then select Properties on the far right).
- In the Triggers tab, select the trigger to edit, and then select Edit.
- In the Edit Trigger window, mark Enabled.
- Update the frequency and/or time for the task to run.
- Select OK.
